Top Dog Pizza & Donairs is looking for an ideal candidate to fulfill an Office Manager position. Our business has grown to a point where we need a dedicated team member to manage all the administrative aspects of the business. This position will involve managing our day-to-day administrative operations including banking, scheduling, bookkeeping, human resource management, marketing, vendor relations, billing, customer relations, etc. Following are some of the responsibilities and duties you are expected to perform:
• Oversee administrative procedures and ensure their efficient execution.
• Manage daily financial reporting, including sales reports, day closings, cash reports, and deposit tallies.
• Track and balance accounts, process weekly invoices, and monitor bank statements.
• Manage accounts receivable, payables, and staff payroll.
• Address maintenance issues and queries from owners and staff in a timely and effective manner by delegating issues to appropriate maintenance & repair companies.
• Develop and manage efficient office systems, including payroll, documentation, forms, and policy procedures.
• Liaise with the accountant to ensure timely payroll submission, GST filings, remittance filings, and processing of new employees.
• Maintain communication with the CEO and accountant to manage accounts with various government agencies such as VIHA, Work Safe BC, municipal licensing etc.
• Create and maintain vendor accounts, compile inventory and staff performance reports, and manage financial statements.
• Handle business profiles and digital marketing on platforms like Google, TripAdvisor, Yelp, and Bing.
• Update and manage systems like the POS, scheduling tools, online ordering, and delivery management.
• Respond to customer reviews and complaints on various platforms to ensure an optimal rating and customer satisfaction.
• Collaborate with delivery integration partners and internal teams to optimize the delivery menu.
• Perform a variety of general administrative tasks to ensure the smooth operation of the office.
Employment Requirements:
• Completion of a College program in business administration, economics, or commerce OR at least 1 year of experience in administrative services or office management. •
• Knowledgeable in general administration, with the capability to multitask and manage different aspects of a small business.
• Proficient in Google productivity software (Docs, Sheets, Drive), MS Office.
• Ability to work in a fast-paced environment and maintain a positive attitude.
• Willing/able to work weekdays and weekends if necessary.
• Moderate proficiency in English.

• Type of Employment: Permanent-Full Time, 30-40 hours/week
• Salary: $30/ hour plus year-end bonuses.
